Video access policy and reporting deadlines

How long your video access lasts, when it ends, and what you should download before it does.

The one thing to remember
Access ends at the close of your reporting period. Download your agendas and any completion certificate before that date. Once access closes, those records are no longer available to you, and they are what your regulator would ask for if you were audited.

How long your access lasts

Access to your video sessions and your secure bundle page runs to the end of your current reporting period, so that you have time to complete the sessions and your assessments before you file.

A regulator outside Canada12 months from the date of registration, or the deadline set by your own regulator. Tell us your jurisdiction when you register.

Leaving it late

Many licensees complete their requirement in the final weeks of the period, and our platform is prepared for the volume in June and December. Even so, finish at least 48 hours before your deadline. That leaves time for a certificate to generate and for us to help if something does not work. A support ticket answered within 12 to 24 business hours is no use to you on the afternoon of the deadline.

After your deadline passes

Access closes. Once your reporting deadline has passed, video access is deactivated and the portal resets for the new period.

If your regulator has granted you an extension. Where you have been given more time on medical or personal grounds, send us your extension letter and we will extend your video access to match your new deadline. We would rather do that than have you lose hours you have paid for through circumstances outside your control.

Access is personal to you

One registrant, one account. Your access is for you alone. Streams are logged against your account, and we review that activity. Where the pattern indicates an account is being shared, we suspend access and contact the registrant.

No recording or redistribution. Recording, downloading or redistributing session content by any means is not permitted. This protects the educators whose work it is, and the value of what other registrants have paid for.

Where hours have been claimed. If access is withdrawn for misuse and hours have already been declared to a regulator, we will notify that regulator that the hours were not properly completed. For a licensed professional this is a more serious consequence than the loss of the registration.

Getting into your videos

An automated email is sent within five minutes of payment, containing your secure page link and the password you will need. That password is separate from your profile login and is usually in capital letters. Check your spam or junk folder if it does not arrive, and keep the email: it is how you get back in.

Before your access ends, download
The agenda for every session you attended.
Your completion certificate, if you generated one.
Your invoice.

Keep them for at least six years. If your regulator audits your declaration, these are the documents you will be asked to produce, and we cannot reissue them once a reporting period has closed.
